Meridian Software Inc (“Meridian,” “we,” “us,” or “our”) is an Edmonton, Alberta-based provider of data, analytics, Microsoft Fabric, Power BI, training, support, and software services. This Privacy Policy applies to personal information we handle through this website, consultation requests, business communications, and related marketing activities.

“Personal information” means information about an identifiable individual. Depending on the circumstances, Canadian federal or provincial privacy legislation may apply. We are responsible for personal information under our control and will designate a person to oversee privacy compliance before the website begins collecting inquiries.

2. Information we collect

Information you provide

• Contact information: name, work email address, telephone number, company, role, and location.
• Inquiry information: services of interest, project goals, messages, meeting preferences, and information you choose to include in a consultation request.
• Booking information: if you choose the Microsoft Bookings link, Microsoft may collect the contact details, meeting selection, time-zone information, and message you submit to schedule the consultation.
• Business relationship information: proposals, correspondence, meeting notes, feedback, and records relevant to prospective or active engagements.
• Marketing preferences: whether you have expressly opted in to receive occasional business updates and any withdrawal of that consent.

Information collected automatically

When the site is hosted, the hosting provider and security services may automatically receive standard technical information such as IP address, browser and device type, operating system, referring page, requested pages, timestamps, and security or diagnostic events. Please do not submit sensitive personal information, confidential client data, production credentials, financial account information, health information, or government identification through the website.

3. How we use personal information

We may use personal information for purposes a reasonable person would consider appropriate in the circumstances, including to:

• respond to questions and consultation requests;
• assess project fit, prepare quotes, proposals, and statements of work;
• schedule meetings and manage prospective or active business relationships;
• deliver contracted services, training, products, and support;
• send marketing communications when we have the consent or other lawful basis required to do so;
• operate, secure, troubleshoot, and improve the website and our services;

4. Consent and communication choices

By submitting a consultation request, you consent to our using the information reasonably necessary to respond and follow up about that request. Declining to provide required contact details may prevent us from responding.

Consent for promotional email is optional and separate. We will not make marketing consent a condition of responding to an inquiry. Where Canada’s Anti-Spam Legislation applies, commercial electronic messages will identify the sender and provide a working unsubscribe method. You may withdraw marketing consent at any time, subject to reasonable time to process the request and any legal or contractual restrictions.

We may still send non-promotional communications that are necessary to respond to your request, administer an engagement, provide requested information, or meet legal obligations.

5. When we disclose information

We do not sell personal information. We do not disclose it for cross-context behavioural advertising. We may disclose information only as reasonably necessary to:

• Service providers: hosting, email, Microsoft Bookings, CRM, security, document storage, analytics, accounting, and professional-advisory providers that support our operations.
• Business transactions: a prospective or completed financing, reorganization, merger, sale, or transfer, subject to appropriate protections.
• Legal and safety purposes: comply with law, lawful process, court orders, regulatory requirements, or protect rights, safety, property, and system integrity.
• With your direction or consent: where you ask us to share information or otherwise consent to the disclosure.

Service providers are expected to handle information only for the services they provide and to use safeguards appropriate to the sensitivity of the information.

6. Processing outside your province or country

Some service providers may process information in another Canadian province, the United States, or another jurisdiction. Information processed elsewhere may be subject to the laws of that jurisdiction and accessible to its courts, governments, or law-enforcement authorities in accordance with applicable law. Once vendors are selected, this policy should be updated with more specific information about material cross-border processing.

7. Retention

We retain personal information only as long as reasonably necessary for the identified purposes, to manage a business relationship, and to meet legal, accounting, security, insurance, and dispute-resolution requirements. Retention periods vary according to the nature and sensitivity of the information. When information is no longer required, we will securely delete, destroy, or anonymize it, subject to technical limitations and lawful backup cycles.

8. Safeguards and incidents

We use administrative, technical, and physical safeguards proportionate to the sensitivity and amount of personal information, such as access controls, secure service providers, encryption in transit where supported, system updates, and limited retention. No internet transmission or storage system is completely secure, and we cannot guarantee absolute security.

If a privacy or security incident occurs, we will investigate and provide notifications to affected individuals and regulators when required by applicable law.

Subject to applicable law and limited exceptions, you may ask us to:

• explain whether we hold personal information about you and how it has been used or disclosed;
• provide access to your personal information;
• correct inaccurate or incomplete information;

We may need to verify your identity before fulfilling a request. We will respond within the period required by applicable law and explain any lawful refusal. Depending on your US state of residence and whether the relevant law applies to Meridian, you may have additional rights. Meridian does not currently sell personal information or use it for targeted advertising.

Children

This business website is not directed to children under 16, and we do not knowingly collect their personal information through it. If you believe a child has provided information, please contact us.

10. Contact, questions, and complaints

Contact Meridian at contact@meridiansoftware.ca or through the consultation form on the main website for privacy questions, access or correction requests, consent withdrawal, or complaints. Please write “Privacy Request” in the subject line or at the beginning of your message so it can be directed appropriately.

If we do not resolve a Canadian privacy concern to your satisfaction, you may contact the Office of the Privacy Commissioner of Canada or the applicable provincial privacy regulator.

Changes to this policy

We may update this policy as our website, services, vendors, or legal obligations change. The effective date at the top indicates the latest revision. Material changes will be highlighted or otherwise communicated when appropriate.
